Documents and folders

Your workspace’s documents live in the sidebar under Documents. Folders can nest up to eight levels deep.

Choose the + beside Documents in the sidebar, then New document or New folder. To create inside a folder, use that folder’s … menu. Give it a name of up to 200 characters. A new document can Start from a blank page or a template, and it opens straight away.

Other ways in: New document beside Search, the + that appears when you point at a folder, the home page, or quick open.

A new document starts as a draft that only you can see. Publish it when it’s ready for the folder.

You need Can edit on the folder to create something in it.

Choose Rename in the item’s … menu, or select it and press F2. Enter saves; Escape cancels.

Renaming never breaks a link to the document (see Links between documents).

Drag an item onto a folder, or onto Move to the top level. Or choose Move to… in its menu and search for a folder by its name or path. Moving needs Full access, because it can change who can open the item.

A short note at the bottom of the window confirms where it went, such as Moved “Roadmap” to “Plans”. Deleting an item shows Moved “Roadmap” to the trash in the same way. After a move, the note offers Undo for 10 seconds, unless the item came from a folder you can’t see.

Choose a folder’s name in the sidebar to open its overview: its subfolders, its documents and when they were last edited. Use the arrow beside the name to expand or collapse it in the tree.

Open it with the … button, a right-click, or Shift+F10. Depending on the item and your role, it offers: New document and New folder, Add to favorites, Rename, Move to…, Share…, Use as a template, Duplicate, Download and Delete.

Arrow keys move around and open folders, Home and End jump to the first and last items, Enter opens, F2 renames, Delete deletes, and the context-menu key opens the item menu.

Choose Home in the sidebar to see your favorites, Recently viewed, Recently edited (and by whom) and the first documents in the workspace.

If someone shares a document or folder with you but not the folder around it, you’ll find it under Shared with you in the sidebar.
