Templates, favorites and duplicates

A template saves you from starting at a blank page. When you create a document, choose one under Start from. The dialog shows the template’s description and the start of its text, so you know what you’ll get.

Colletta comes with:

  • Getting started: a short tour of Colletta with a “Try it” checklist. A good first document.
  • Meeting notes, Decision record and Project brief. Today’s date is filled in wherever the template asks for it.

If your team writes the same kind of document again and again, turn a good one into a template. In the sidebar, open the … menu of a published document you can edit and choose Use as a template. It then appears under Start from, marked “(this workspace)”, for people who can open that document. Choose Stop using as a template to take it out of the list.

Click the star beside a document’s title, or choose Add to favorites in its menu. Favorites appear at the top of the sidebar and on the home page, so the documents you use most are always one click away. You can keep up to 200.

Choose Duplicate in the document’s … or More menu. The copy, named “title (copy)”, opens in the same folder as your draft. Only the text is copied. Comments and history stay with the original, and so does sharing, except for restricted documents (below).

Duplicate is offered when you can open the document and add documents to the place the copy goes: its folder, or the workspace for a document at the top level. So a document shared with you from a folder you can’t see, or where you can’t add documents, has no Duplicate. Workspace Viewers can’t add documents anywhere, so they can’t duplicate. If the workspace turns off Viewers can download, export, print and duplicate, people who can only view a document can’t duplicate it either. Creating a document from a template isn’t duplicating.

A copy of a restricted document is published rather than a draft. It stays restricted, with the same people and teams, so duplicating never quietly widens who can read it. You can edit the copy.

If you have Full access to the original, Colletta asks which access the copy should have: Keep the same access as the original (the default) or Use the folder’s access. Choosing the folder’s access needs a sign-in with two-factor (see Two-factor sign-in). Everyone else gets the restricted copy without being asked.
